5 ways to automate Synthesia
If you’ve been involved in the video creation process before, you know it traditionally takes a lot of time and energy. Between coordinating shoot times, hiring talent, and editing the video, the time and cost of these projects can add up quickly.
Synthesia, an AI video platform, exists to make it easier and more affordable to create professional-grade videos. Similar to putting together a slide deck, all you have to do is choose a template, add the information you need, and Synthesia turns what would be a mundane PowerPoint presentation into an engaging video.
And when you add Zaps—our word for Zapier’s automated workflows—to the mix, creating and distributing video content gets even faster.
Zapier is a no-code automation tool that lets you connect your apps into automated workflows, so that every person and every business can move forward at growth speed. Learn more about how it works.

Create personalized Synthesia videos automatically
Creating videos in the Synthesia platform is quick and easy on its own, but what if you didn’t even need to go into the platform to make your video? What if Synthesia created a personalized video for each new lead you gathered or for each new employee who started at your company? Well, with Zapier, you can.
From a project management tool
If your team is like mine, you probably keep track of your projects in a project management platform like Asana or Trello. With the automations below, you can automatically create videos in Synthesia as soon as you create a task for them in your project management tool.
Just make sure the task includes essential fields like the title, script, avatar, and background, and Zapier will send that information to Synthesia to create your video in minutes.
For new leads and prospects
One of the most popular use cases for Synthesia is creating personalized videos for prospects and new customers. With the Zap templates below, you can do just that.
Connect Synthesia to wherever you’re gathering your leads and customers—whether it’s someone filling out a form on your website or making a purchase on your eCommerce platform—and Zapier will send their information to Synthesia and create a new video, personalized to that individual.
For new employees
Employee onboarding is a long process full of a lot of information. With all of the details new hires need to take in during their first couple of weeks, it’s nice to break things up with a video so they’re not just reading docs all day.
With this automated workflow, you can connect Synthesia to BambooHR to create new, personalized onboarding videos each time a new employee is added to BambooHR—helping make their onboarding more personal and engaging.
If you need to pair Synthesia with a tool that doesn’t have a Zapier integration, don’t worry, you can still use Zapier to automate the process. Using Webhooks by Zapier, you can pass information from almost any app to Synthesia by creating a custom webhook.
Send Synthesia videos to prospects
Okay, you used Zapier to create a personalized video for your new leads, but how are you going to send it to them?
You could have your sales team do it manually—grabbing the video from Synthesia and adding it to an email—but that process is slow and unreliable.
Alternatively, you could use the Zap templates below to send an email or an SMS message directly to your new lead, with the video included, as soon as Synthesia finishes the video. This way, you can follow up with leads as fast as possible and make sure no one slips through the cracks.
Something to note in the Zaps above: you’ll see that they both contain a filter step, using our built-in tool Filter by Zapier. That’s to tell your Zap to look for a Callback ID.
Callback IDs in Synthesia are a way of linking new videos back to your initial video request. In this example, you’d use a leads email address or phone number as the callback ID. That way, you’ll be able to tell who the video is for once Synthesia has finished preparing it.
Keep backups of your videos
When your library of videos continues to grow, it’s helpful to keep a library of all the videos you’ve created. That way, if you want to share a video with someone who doesn’t have Synthesia access or make them easier for others in your company to find, you can just send them a link to your video library.
With the Zaps templates below, you can send your new Synthesia videos to the platform of your choice, automatically creating a video archive.
Upload finished Synthesia videos to a video hosting service
If you publish your Synthesia videos on a platform like YouTube or Vimeo, exporting the video and uploading it to that platform can be tedious. Not to mention the valuable time it takes from someone on your team who could be focusing on more impactful work.
With the automations below, you can upload Synthesia videos to YouTube or Vimeo automatically as soon as they’re finished—giving you time back and peace of mind that you didn’t forget to upload anything important.
Update your project management tool when videos are finished
Let’s say you have a project set up in your project management tool for an upcoming product launch, and there’s an item in that project to create a video. As we covered earlier, you can use Zapier to make the video automatically directly from that item, but what about updating your project once the video is complete?
With the automated workflows below, you can update your project management tool once Synthesia finishes your video—keeping track of your progress and letting your team know when the task is done.
Automate your video creation process
Synthesia brought AI to the video creation process, making it easy and affordable to create professional-grade videos. With Zapier, you can streamline the process even further—automating not only the creation of these videos but the distribution of them as well.
